The purpose of this policy is to set forth Carolina Pintos Therapy, PLLC's policy and procedures for handling employee absences and tardiness to promote the efficient operation of the company and minimize costs. It is important to recognize that Carolina Pintos Therapy, PLLC invests thousands of dollars in marketing and client acquisition efforts. These investments are aimed at ensuring a steady and reliable flow of clients to our clinic. Therefore, seemingly simple or faultless cancellations of appointments due to employee absences can have significant financial repercussions for the company. Each absence not only impacts our operational efficiency but also represents a potential loss in revenue and a waste of our marketing efforts. This underscores the importance of minimizing unscheduled absences and adhering strictly to this attendance policy.

Punctuality and regular attendance are very important to the operation of Carolina Pintos Therapy, PLLC's business and are the responsibility of each employee. Good attendance is something that is expected from all employees. As such, employees are expected to report to work at their scheduled start time and be prepared to begin their workday.

Absence Types:

  • Excused Absence: Requires at least 48 hours' notice and Management approval (absences and/or tardiness reported by email are not acceptable. Calling and/or texting is required). Includes pre-approved vacation, personal holidays, bereavement leave, and jury duty.

  • Absence Limit & Penalty: Employees have seventeen (17) days time off limit annually. Exceeding this limit results in a year translates to transitioning from W2 to contract status, losing 401k matching, bonuses eligibility, and medical insurance (W2 employee only). 
  • Unplanned Absence: Requires notification to the Management at least three (3) hours before the scheduled start time due to illness or emergency.

  • Unexcused Absence: Occurs with failure to report to work without proper notification or after sick leave is exhausted. More than three (3) unexcused absences in a 12-month period may lead to disciplinary action. Employees with three (3) or more consecutive days of excused absence due to illness or injury may be asked to provide a doctor’s note prior to returning to work. Furthermore, employees who have exhausted their sick leave may be asked to provide a doctor’s note for the day(s) they were absent. Providing Carolina Pintos Therapy, PLLC with a doctor’s note does not automatically deem an absence excused. Management will review overall patterns of attendance and make determinations accordingly.

Note: Absences and tardiness reported by email are not acceptable. Calling and/or texting is required.

Time Off During High Season:

The months of May, June, July, and August are designated as the high season at Carolina Pintos Therapy, PLLC. This period is crucial for offsetting slower business periods earlier in the year. Due to the importance of maintaining optimal staffing levels during this time:

  • Employees are required to obtain approval from Management for any days off.
  • Time off is limited to a maximum of one week, and concurrent leave is restricted to only one (1) employee at a time.
  • All requests for leave during this period must be explicitly approved by Management. This measure ensures that not all employees are on leave simultaneously.
  • Taking vacations in this high-demand period is strongly discouraged. Booking vacations without prior Management approval may result in disciplinary action, including a potential change in employment status from W2 to contract position.

Tardiness:

An employee is deemed to be tardy when they:

  • Fails to report for work at the assigned/scheduled work time.
  • Arrives to work past their scheduled start time.
  • Leaves work prior to the end of assigned/scheduled work time without prior Management approval.
  • Takes an extended meal or break period without an approval.

We realize traffic or weather conditions may cause an employee to be late once in a while. However, employees are expected to plan for traffic and weather problems and to allow for extra time to commute to work. If the employee will be late, they must let their Management know of their late arrival as soon as practical. Notification does not change the fact that this will still be considered an unexcused tardy. Excessive absences or tardiness will lead to discipline, up to and including discharge. Absences or tardiness are excessive if they occur frequently or if they demonstrate a pattern.

Holidays & Vacation:

Absences around holidays will undergo thorough review to ascertain their classification as excused or unexcused. Employees are required to discuss vacation plans with Management before making any bookings. Attempts to coerce Management into granting days off by pre-booking vacations are strongly discouraged. Additionally, it is important to remember that each employee is entitled to a maximum of fifteen (15) days off within a 12-month calendar year.

Corrective Action:

Exceeding fifteen (15) days off leads to a 50% annual bonus reduction (W2 employee only). Exceeding twenty (20) days results in transition to contract status with loss of specific benefits (W2 employee only). Two (2) or more unplanned absences or late arrivals in 30 days, or three (3) unexcused absences in 12 months, are grounds for termination.

Job Abandonment:

Any employee who fails to report to work for a period of three (3) days (no call/no show) or more without properly notifying Management will be considered to have abandoned their job and voluntarily terminated their employment with Carolina Pintos Therapy, PLLC.
