This letter serves as the formal documentation and acknowledgment of your current role as Principal Office Manager at Carolina Pintos Therapy, PLLC.
As previously discussed and implemented, your compensation was increased from $22.00 per hour to $25.00 per hour in recognition of your expanded leadership responsibilities, operational involvement, and contributions to the company.
In addition to your Principal Office Manager position, you also maintain a hybrid clinical role as a licensed massage therapist compensated at $27.00 per hour plus tips, while remaining eligible for participation in the company’s performance based profit sharing program.
Additionally, the company has extended to you eligibility for a 1% equity participation interest in Carolina Pintos Therapy, PLLC. The terms and conditions of this equity participation are governed exclusively by a separate equity agreement and remain contingent upon continuous employment, satisfactory performance, compliance with company policies, and any future qualifying liquidity event or sale of the company. Nothing in this letter shall independently grant ownership rights absent a fully executed equity agreement.
This document is intended to formally define your operational authority, leadership responsibilities, performance expectations, accountability standards, and required contributions associated with your role as Principal Office Manager.
Core Expectations
The Principal Office Manager is expected to:
- Take ownership of operational outcomes
- Resolve issues proactively or ensure their resolution through delegation and follow through
- Build systems and processes that improve efficiency and reduce cost
- Maintain high standards of organization, cleanliness, professionalism, and operational consistency
- Identify operational weaknesses and implement corrective improvements
- Lead by example and accountability while maintaining a great working relationship with all staff
- Continuously improve office systems, workflows, and training procedures
The position is not limited to completing assigned tasks. This role also requires creating systems, improving operational structure, coordinating resolutions, managing accountability, and ensuring consistency throughout the organization.
Responsibilities: Operations and Facility Management
Responsibilities include:
- Maintaining clinic organization, cleanliness, and operational readiness
- Monitoring clinic functionality and operational efficiency
- Ensuring rooms, machines, equipment, and common areas remain clean, organized, and fully operational
- Creating and maintaining maintenance tracking systems
- Coordinating repairs, vendor communication, and equipment servicing
- Ensuring operational issues are resolved promptly and efficiently
- Developing systems that minimize operational disruptions
- Maintaining operational standards across all locations
The Principal Office Manager is expected to proactively manage operational concerns and ensure follow through until resolution is achieved.
Inventory, Procurement, and Cost Reduction
Responsibilities include:
- Managing inventory systems and supply tracking
- Forecasting supply needs and reducing operational waste
- Sourcing products through vendors, manufacturers, and bulk purchasing opportunities
- Identifying cost reduction opportunities while maintaining quality standards
- Standardizing purchasing procedures
- Managing vendor relationships and procurement workflows
- Improving purchasing efficiency and operational cost management
The Principal Office Manager is expected to continuously seek operational efficiencies and cost reduction opportunities.
Equipment Oversight and Maintenance Management
Responsibilities include:
- Monitoring equipment condition and functionality
- Creating preventative maintenance procedures
- Coordinating manufacturer communication, warranty claims, and repair resolution
- Tracking repair status and ensuring timely follow through
- Training staff on proper equipment handling and operational care
- Creating accountability systems that reduce equipment misuse, negligence, and unnecessary damage
Equipment concerns are expected to be handled proactively, professionally, and with appropriate escalation when necessary.
Training, Protocol Development, and Staff Education
Responsibilities include:
- Creating onboarding systems for office and support staff
- Developing written and video based training materials
- Improving operational SOPs and training procedures continuously
- Supporting operational consistency across all locations
- Assisting with front desk and workflow education
- Collaborating with leadership on process standardization
- Developing scalable systems that improve employee integration and performance
Process Improvement and Systems Development
Responsibilities include:
- Identifying inefficiencies and operational bottlenecks
- Brainstorming workflow improvements with leadership and staff
- Developing scalable systems for future expansion
- Creating accountability structures and operational checklists
- Improving communication systems between departments
- Supporting automation and operational streamlining initiatives
This role requires an always improving mindset focused on operational excellence and scalability.
Leadership, Accountability, and Team Support
Responsibilities include:
- Supporting hiring, onboarding, and employee development
- Assisting with accountability and performance management
- Maintaining workplace professionalism and employee morale
- Delegating operational responsibilities appropriately
- Addressing operational concerns proactively before escalation to ownership
- Supporting company culture and organizational growth initiatives
The Principal Office Manager is expected to operate as a leadership figure within the organization and uphold professional standards consistently.
Multi Location Growth Support
As Carolina Pintos Therapy expands into additional locations, the Principal Office Manager will assist with:
- Operational scaling
- Cross location consistency
- Training implementation
- Systems deployment
- Vendor coordination
- Process replication
- Operational standardization across locations
This role is considered critical to the company’s operational growth and scalability.
Performance Evaluation Standards
Performance in this role will be evaluated based on:
- Operational consistency

- Inventory and purchasing efficiency
- Equipment maintenance oversight

Failure to maintain the operational and leadership standards associated with this position may result in reassessment of responsibilities, compensation structure, leadership authority, or position alignment within the company.
Employment Status
Nothing in this document alters the at will nature of employment with Carolina Pintos Therapy, PLLC. Employment may be terminated by either party at any time, with or without cause or notice, subject to applicable law.
The company reserves the right to modify responsibilities, operational structures, compensation programs, bonus eligibility, reporting structures, or leadership assignments based on business needs and performance considerations.
