The purpose of this Performance Review Policy is to create a planning and review cycle that supports employees in reaching their full career potential and in achieving their work goals. This Policy is designed to ensure employees have a clear understanding of the work expected from them, to receive ongoing feedback regarding how they are performing relative to expectations, to distribute rewards accordingly, to identify development opportunities, and to address performance that does not meet expectations.

All full- and part-time employees are eligible to receive performance appraisals. Managers are required to evaluate their eligible employees performance on an annual basis.

Performance Review Cycle and Process:

The performance review process will operate at the same time of year for all employees, regardless of the date of employment, and will run based on a calendar year (January 1 - December 31), with performance review and development conversations beginning in January of each year. Managers and employees will have until the end of December each year to complete and submit performance reviews and development plans for their direct reports.

Each manager is responsible for the timely and equitable assessment of the performance and contribution of subordinate employees. When conducting performance reviews, managers must provide the reasons for the evaluation given and any negative evaluation or comments must include specific recommendations for improvements and provisions for assisting the employee in implementing any recommendations made.

Managers and employees should discuss any questions the employee has concerning their job and/or the responsibilities and duties assigned. Performance reviews are not to be based upon hearsay statements, but shall only be based upon the direct observation and knowledge of the manager.

Any negative evaluation must include specific recommendations for improvements and provisions for assisting the employee in improving performance. The employee shall have the right to review and respond to any derogatory evaluation or comment and attach a statement. If such a statement is provided by the employee, they may request that their manager and the next higher level of administrative authority, if any, review and initial the statement.

Employees shall have the opportunity to review their performance review prior to the document being placed in their personnel file. A copy of any and all performance reviews shall be provided to employees whether the employee has signed it or not.

Regular communication between the manager and employee is critical throughout the performance review cycle (calendar year). Through formal and informal conversations, both managers and employees are kept abreast of progress towards the successful completion of goals and expectations. These discussions also enable managers to provide timely feedback and coaching as the year unfolds. Because the performance review cycle spans several months, it is important for managers and employees to keep track of key performance highlights and challenges that occur during the year. These notes will help immensely when it's time to prepare the annual review.

Salary Increases:

Positive performance evaluations do not guarantee or translate into salary increases. The employee's overall performance and salary level relative to the position’s responsibilities will be evaluated to determine whether a salary increase is warranted. Out-of-cycle salary increases must be pre-approved by the owner of Carolina Pintos Therapy, PLLC.

Salary increase requests must be supported by a performance appraisal for salary change processing. Managers may not discuss any proposed action with the employee until all written approvals are obtained.
